Azure integration and messaging cost optimisation for MSPs

Integration and messaging spend is usually wasted in two ways: per-execution meters keep counting polling checks and retries even when no useful work happens, and reserved capacity is billed whether or not it is used.

Where integration and messaging spend goes to waste

The main cost levers Microsoft documents for integration and messaging, and the ones an MSP should check across every client.

Cut Logic Apps polling and connector spend

Where a trigger has polling and webhook versions, use the webhook so the workflow waits for events instead of repeatedly checking, and add trigger conditions so runs start only when needed. Built-in operations cost less than managed connectors, and integration accounts keep accruing charges after a logic app is deleted. [2]

Match Logic Apps hosting to the workload

Consumption bills each operation execution, including polling checks that find nothing, and a retried action counts every attempt. Standard includes built-in operations but charges for reserved vCPU and memory whether or not it is used, so capacity sized for peaks and left idle still costs money. [1]

Rightsize API Management tiers and units

API Management cost is driven mainly by service tier, unit count and number of gateways. Use non-production tiers for development work, and set autoscale rules that remove units when gateway demand drops. [3]

Filter and prune Event Grid subscriptions

Filter events on each subscription so only relevant ones are delivered and processed, and batch output where possible. Audit regularly for unused topics, subscriptions and dead-letter destinations. [4]

Tune Data Factory copy activity units

Copy activities on the Azure integration runtime are charged as Data Integration Units used multiplied by copy duration. The monitoring view shows how many units each run actually used, which is the evidence to check before overriding the Auto setting. [5]

Rightsize Service Bus tiers and messaging units

Standard runs on shared capacity billed per operation, while Premium charges a fixed price per messaging unit, so reserve Premium for workloads that need its isolation or features. Microsoft suggests scaling messaging units down when CPU stays below 25%. [6]

How Cerberus Cloud covers integration and messaging

Cerberus Cloud runs 26 automated finders for integration and messaging across every connected client tenant. Each one ties a technical signal to real billing data, so findings arrive with an estimated recoverable value, ranked by impact, effort and risk, with evidence and remediation scripts for your engineers to review.

Access is read-only, so nothing changes in a client environment until your team decides it should. See how it works or the multi-tenant portfolio view.

Frequently asked questions

How can we attribute Data Factory costs to each client?
Microsoft recommends a separate resource group for each data factory where spend matters, and by-pipeline billing for line-item chargeback. Check data flow debug sessions too: a session kept active all day keeps incurring compute charges.
Does Event Hubs auto-inflate scale back down when traffic drops?
No. Auto-inflate adds throughput units as traffic grows but doesn't remove them when it falls, and pricing depends on the units used each hour. Review namespaces that inflated during a peak and scale them back deliberately.
When does API Management's Consumption tier make sense?
Microsoft describes Consumption as a serverless gateway that scales with demand and bills per execution, suited to serverless compute, microservices and variable traffic. For non-production, the Developer tier is the economical option.
